Summary:
Responsible for the assembling, reviewing, tracking, closing and final billing of work orders.
Researches and analyzes customer-billing problems, invoice issues, and recommends and/or implements solutions.
Manages Work in Progress (WIP) and supervises the review, tracking, adjustment and closing of work orders for assigned area.
Analyzes data and trends and then advises Shop Supervisors and Service Managers concerning status.
Monitors budget performance, analyzes direct and indirect cost and provides decision tools to Managers.
Provides guidance and training for Billing Coordinators, Billing Specialists, and Customer Service Representatives, as needed.
Advises appropriate Supervisors and branch personnel of work order status and provide solutions to problems.
Solves work order flow and procedural problems for assigned area.
Provides proper information to warranty personnel for accurate and timely claim submission.
Determines and implements policy and warranty decisions for assigned area within established guidelines.
Directly interfaces with customers in order to solve problems, concerns, and issues with the Service Department.
Essential Functions:
Supervises the review, tracking, adjustment, and closing of work orders.
Maintains knowledge of Department operations, polices, controls and systems in order to analyze and trend data efficiently.
Manages the WIP.
Advises Leadpeople, Supervisors, and Manager.
Works with Supervisors, Leadpeople, and mechanics to solve work order flow problems.
Handles customer billing problems.
Researches and presents solutiions.
Trains Billing Coordinators, Billing Specialists, Customer Service Representatives and other employees as directed.
Ensures consistent work among Billing personnel.
Interfaces with Warranty personnel.
Determines warranty and policy decisions.
Works safely at all times.
Adheres to all applicable safety policies.
Complies with all company policies, procedures and standards.
ADDITIONAL
Responsibilities:
Monitors and tracks the purchase of shop and office supplies using an automated system.
Works within and promotes corporate values.
KNOWLEDGE SKILLS AND ABILITIES:
Math skills sufficient to perform research and analysis.
Interpersonal skills and communications abilities necessary to explain complex information, and influence others.
Ability to multi-task and operate effectively in a very fast paced environment, and meet critical deadlines Strong organization skills and attention to detail.
Ability to prioritize, uses time efficiently, completes tasks on time or notifies appropriate person with an alternate plan.
Maintains knowledge of CAT Warranty programs.
Ability to maintain consistent attendance.
EDUCATION AND
Experience:
Proof of high school diploma or General Education Degree (GED).
Minimum 5 years experience as Billing Coordinator or Billing Specialist or equivalent experience in a Caterpillar dealership environment.
Must be able to communicate (speak, read, comprehend, write) in English.
